Position Summary
The Human Resources Generalist and Administrative Support role will be based in Miami to support the company’s Human Resources and Legal Department. This position will handle various responsibilities across multiple HR functions such as recruitment, onboarding, offboarding, and various compliance tasks in multiple markets. The ideal individual must be able to handle confidential matters with discretion, exercise good judgment in a variety of situations, possess strong written and verbal communication, demonstrate high-level administrative and organizational skills, and proven success maintaining a realistic balance among multiple, shifting priorities. The ideal candidate must have demonstrated experience in HR principles and best practices and be able to work effectively with employees at all levels.
Essential Duties and Responsibilities

Maintain current HR and Legal files and databases.

Partner with Corporate HR to support file audits and ensure all required employee documentation is collected and compliant.

Respond to employee inquiries and help resolve HR-related issues in a timely manner.

Support the recruitment process by posting job ads, sourcing candidates, and issuing offer letters.

Coordinate onboarding activities to ensure a smooth integration for new hires.

Ensure completion of benefit enrollment and background check processes.

Serve as a point of contact for new hire questions across multiple markets.

Produce and submit reports on general HR activity.

Complete termination paperwork and assist with exit interviews.

Maintain up-to-date knowledge of HR trends, best practices, and employment regulations.

Partner with hiring managers on employee relations matters, including conduct, hiring, terminations, and labor-related considerations.

Perform HR and benefits audits and recommend corrective actions as needed.

Liaise with benefit vendors and brokers to resolve administrative issues.

Provide administrative support to both the Human Resources and Legal departments, including preparing documents, maintaining confidential files, coordinating meetings, and assisting with compliance-related processes.

Assist in organizing and maintaining HR and legal documentation, including personnel records, contracts, and compliance materials, ensuring accuracy and confidentiality.

Coordinate cross-functional efforts between HR, Legal, and other departments to support audits, investigations, and compliance initiatives.

Prepare Personnel Action Forms (PAFs) via the company intranet and generate reports for management approval.

Take notes in team meetings and follow up to ensure deadlines are met.

Ensure compliance with federal, state, and local employment laws and regulations.

Exercise independent judgment to prioritize tasks and manage competing demands.

Utilize technology platforms such as Outlook 365, Teams, OneDrive, Word, Excel, and PowerPoint to manage and share information.

Draft and prepare correspondence, including offer letters, employment verification letters, presentations, memos, and emails.

Maintain a high level of discretion and confidentiality in handling communications and sensitive information.

Take initiative to identify issues and propose solutions proactively.

Coordinate resolution of problems and remove roadblocks as they arise.

Collaborate with cross-functional and multi-departmental teams to support events and projects.

Minimum Requirements
- 2-5 years of experience as a Human Resources Generalist working within a Human Resources Department with demonstrated experience in HR principles and best practices.
- Bachelor’s degree preferred, but not required.
- Interpersonal skills: Someone in this position has constant interaction with company employees and must be able to maintain a positive demeanor throughout even the most difficult situations.
- Must be flexible, poised, and able to manage multiple, changing priorities in a fast-paced, entrepreneurial environment with minimal supervision.
- High level of integrity and the ability to always maintain confidentiality.
- Excellent time-management, organizational and follow-up skills.
- Should possess strong PC Skills, including proficiency with MS Outlook, Word, Excel & PowerPoint, MicroSoft365, TEAMS and similar technology driven communication platforms.
- Knowledge in ADP Workforce Now.
- Clear and positive communicator, developing solid relationships with people at all levels.
- Must be trustworthy and able to handle confidential and sensitive information.
- Problem solver. Pitches in to help where and whenever possible.
- Must be detail-oriented, with the ability to understand written and oral instructions.
- Able to act in a proactive manner and solve challenges with limited direction.
- Experience working with teams in different geographies/time zones a plus.
- Bilingual in English/Spanish
