Position Summary

The Receptionist/Traffic Assistant is responsible for overall receptionist duties as well as assisting the traffic department as needed.  This position will play a key role in overall administrative tasks such as receiving incoming calls, answering basic inquiries, and taking messages as well as entering digital orders and scheduling commercials accurately.  The receptionist/Traffic Assistant must be friendly, professional, courteous, and efficient when working with all customers and employees.

Essential Duties and Responsibilities

Receptionist:

  • Meet and greet customers in a professional manner.
  • Operate switchboard telephone system.
  • Communicate with callers in a professional, friendly, and efficient manner, striving to minimize the amount of time spent on hold.
  • Take thorough messages, indicating the caller’s first and last name, company name if applicable, the time and the message the caller wishes to leave.
  • Provide basic information to callers who have general inquiries.
  • Assist with various clerical duties as needed.
  • Receives and distributes office mail.
  • Assists the Promotions Department with distribution of prizes.

Traffic Assistant:

  • Attend meetings and training courses as scheduled, if necessary.
  • Secure and input traffic instructions for advertisers across multiple channels or playlists.
  • Enter detailed copy information using Wide Orbit traffic software.
  • Maintain instruction files, spot library and various other traffic functions.
  • Work closely with local Account Executives, Sales Department, and clients in a professional and timely manner.
  • Notify Account Executives of missing copy instructions.
  • Maintain thorough/accurate communication between traffic hub, Sales and TV operators.
  • Liaison between Master Control and Account Executive and/or Client on any quality control issue related to spots or Paid Programs.
  • Become familiar with compatible video formats and transcoding methods.
  • Use Wide Orbit Traffic to aggregate reports.
  • Responsible to reconcile “As- Run” logs back into the Wide Orbit traffic system making sure everything ran as scheduled.
  • Perform other duties as assigned.

Essential duties and responsibilities are those most important or most frequently performed duties.  Employee will be required to perform other job-related duties as required.

Minimum Requirements

  • Have 2+ years of recent administrative support experience.
  • High School diploma or equivalent.
  • Possess excellent written and verbal communication skills.
  • Ability to operate a multi-line switchboard.
  • Ability to read and comprehend instructions and information.
  • Ability to work well with the public.
  • Heavy emphasis on attention to detail.
  • Ability to learn and understand required software and systems, strong computer knowledge preferred.
  • Ability to prioritize assignments and handle multiple tasks simultaneously.
  • Openness to learning new skills, systems, software.
  • Build positive relationships with co-workers including sales management, AE’s and news production.
  • Problem-solving ability – identify problems, suggest improvements/solutions. Look at processes through a new eye to streamline or make things better.
  • Microsoft Office knowledge (excel and PowerPoint specific).

In addition to meeting the minimum qualifications listed above, an individual must be able to perform each of the established essential functions to perform this job successfully.

Desirable Requirements

  • Bilingual Spanish/ English

Physical Requirements

Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs may be defined as sedentary when walking and standing are required only occasionally, and all other sedentary criteria are met.
